Administrator in Training (AIT)
Job description
The Administrator In-Training is responsible for assisting the administrator in directing the day to day functions of the facility in accordance with current, federal, state, and local standards governing long-term care facilities to ensure that the highest degree of quality resident care and services are delivered and maintained. He/she will ensure all personnel are treated fairly and consistent with company policy and applicable laws. As the Administrator In-Training, you are given the opportunity to meet admission requirements for the Nursing Home Administrator’s Exam.
Essential Duties and Responsibilities
1. Assists the Administrator to create and maintain an atmosphere of warmth and personal interest, ensuring a positive, calm environment throughout the facility, ensuring that each resident receives the necessary nursing, medical, and psychological services to attain and maintain the highest possible mental and physical functional status.
2. Plans, develops, organizes, implements, evaluates, maintains, monitors, supervises, and directs all facility departments and overall operations, including programs, activities, policies, and procedures and implement changes as necessary.
3. Assists department directors in developing and using departmental policies and procedures and establish rapport among all departments.
4. Interprets and ensures compliance with all facility policies and governing agencies and general public.
5. Represents the facility at facility’s governing boards, the medical community, outside support agencies, ancillary providers, and private and governmental agencies.
6. Plans, develops, and maintains an ongoing quality assurance program.
7. Identifies problems and deficiencies and develops and implements appropriate plans of action to correct deficiencies.
8. Implements and maintains effective marketing and public relations programs.
9. Assists the Administrator to recruit, interview, hire, and maintain competent personnel to supervise and direct the activities of the departments.
10. Supervises and directs department directors in recruiting, interviewing, hiring, counseling, disciplining, and terminating personnel to maintain and ensure an adequate staff of qualified personnel at all times.
11. Develops and maintains job descriptions and performance evaluations for all staff positions.
12. Supervise and direct department directors in scheduling department work hours.
13. Maintains proper documentation and records on all personnel in accordance with applicable regulations.
14. Delegates administrative authority, responsibility, and accountability to other personnel as deemed necessary to ensure performance of all assigned staff positions.
15. Assists the Administrator to review and interpret monthly financial statements and provide information to the facility’s governing board.
16. Assists in the establishment and maintenance of adequate accounting systems.
17. Keeps abreast of economic conditions and situations and makes adjustments necessary.
18. Prepares annual operating budgets.
19. Allocates sufficient resources to maintain facility programs and activities and submits to the facility’s governing board for approval.
20. Establishes, maintains, and ensures adequate financial records and cost reports and submits to appropriate government agencies as required.
21. Approves and authorizes purchase of food, equipment, and supplies to ensure adequate quantities are available to meet the day to day operational needs of the facility and its residents and to ensure a clean and safe environment for the residents.
22. Assists the Administrator in maintaining resident confidentiality.
23. Treats residents with kindness, dignity, and respect.
24. Ensures that all personnel know and comply with Residents Rights rules.
25. Monitors services to ensure that residents needs and rights are met.
26. Ensures that timely notice is given and strictly followed for resident discharges and room and/or roommate changes.
27. Reviews and maintains written records of all resident complaints and grievances, and the action(s) taken to resolve and the current status of the complaints and grievances.
28. Assists the administrator to direct, serve, attend, and participate in various committees of the facility.
29. Provide written and/or oral reports to the facility’s governing board and facility management as necessary.
30. Evaluates and implements recommendations from the committees, the governing board, and/or facility management.
31. Assists the Administrator to ensure that all personnel, residents, and visitors follow established policies and procedures, including safety regulations, fire protection policies, smoking regulations, infection control procedures, and waste and disposal procedures.
32. Ensures that the facility and surrounding grounds are maintained in good repair.
33. Reviews accident and incident reports and participates in Hazardous Communication and Universal Precautions training programs prior to reporting for work assignments.
34. Maintains professional competence and keeps abreast of changes in the long-term care through attendance and participation in continuing education programs, workshops, seminars, and training programs.
35. Assists department directors in planning, developing, conducting, and scheduling orientation, in-service training, on-the-job training, and other educational activities for personnel to ensure that current materials and programs are continuously provided.
36. Meets with department directors on a regular basis and encourages, conducts, and participates, in in-service classes and supervisory level training programs.

Qualifications
A. Education and/or Experience
- Bachelor’s degree required
- At least two (2) years’ experience as a Director of Nursing
- Must be at least 21 years of age
B. Skills and Abilities
- Ability to communicate with residents, families, personnel, and supporting agencies
- Ability to evaluate and interpret information and make independent decisions
- Must have the ability to remain calm under stress
- Ability to understand and interpret financial data
- Ability to understand and instruct personnel concerning training and education
- Must have a positive attitude toward the elderly
- Must speak and understand English
