Administrative Assistant
Job Goal: To provide administrative assistance to the Leadership, Learning & Accountability department in meeting program objectives and providing quality services.
Qualifications
- High school graduate or equivalent supplemented with education related administrative assistant or business office experience is preferred.
- Three years general office or administrative assistant experience.
Special Knowledge &
Skills
- Strong organizational, communication, and interpersonal skills.
- Proficient in computer use and office applications such as word processing, building and using spreadsheets, databases and the navigation of other software as appropriate.
- Bookkeeping skills including experience in creating, maintaining, and amending budgets.
- Demonstrate skills in writing and editing.
- Ability to handle multiple tasks with minimal supervision.
- Ability to maintain confidentiality.
Major Responsibilities
- Support departmental initiatives, including office administrative duties specific to the functioning of the Leadership, Learning &
Accountability department.
- Serve as role model to support staff, specifically maintaining a positive and professional demeanor, sometimes acting as a liaison between departments.
- Assist in the office administrative tasks related to hiring and employment procedures.
- Maintain positive relationships with internal (ESC 6) and external
(districts, vendors, and others) customers.
- Maintain budgets, including but not limited to processing purchase orders, payment authorizations, and invoicing of supplies and materials.
- Facilitate billing procedures for budgets as appropriate.
- Keep up to date with developments in relevant ESC policies and procedures, ensuring the department is in compliance.
- Process program/grant application and file internal and external amendments as appropriate.
- Perform clerical tasks as needed such as preparing and dispersing routings and mail, making travel department arrangements, answering phones, supply orders, Helpdesk tickets, and other routine office procedures.
- Communicate and monitor compliance of policies and procedures related to the smooth operation of the department.
- Carry out special projects as requested; perform other duties as assigned.
- Perform other duties as assigned.

- Commensurate with experience.
Equipment Used
- Personal computer, presentation equipment, standard office equipment.
Working Conditions
- Work on multiple tasks with frequent interruptions.
- Maintain emotional control under stress.
- Repetitive hand motions; prolonged use of computer.
- Occasional lifting.
