Assistant Registrar

Tribal School

Department of Human Services

Hourly Wage: $15.15-$16.07/Regular/Full-Time


Assistant Registrar provides support services to the Tribal School parents, students, staff, and the general public. Assist with the process of student records, transcripts, enrollment, transfers, withdrawal and maintaining student records at the Yakama Nation Tribal School. Prioritizes workload daily to ensure smooth workflow to maintain office efficiency; greets parents, visitors, clients, and the general public accordingly.


Examples of Work Performed:

  • Follows policies and procedures of the Yakama Nation Tribal School Board and Yakama Nation Education Programs.
  • Maintain all student records relative to enrollment, attendance, and participation in school program activities.
  • Verifies student information requested by school officials.
  • Input information to the computer by initially setting up encoding of NASIS program activities.
  • Maintain student record by monitoring all enrollment records.
  • Complete school official's requests by verifying student information.
  • Utilize secretarial knowledge, abilities, and skills to enhance the program services.
  • Know each student by memorizing and recognizing record information.
  • Maintain communication with supervisors by consistently discussing issues with supervisor and/or Program Manager.
  • Participate in meetings, trainings, and conferences as assigned.
  • Travel to on-site locations with services for staff convenience when needed.
  • Pick-up and deliver needed supplies, materials, and equipment.
  • Other duties as assigned.

  • Knowledge of current education practices, methods, and techniques used in the education system.
  • Ability to assume responsibility and work in an educational environment with children and families.
  • Ability to establish effective working relationships with parents/families, professionals and colleagues.
  • Ability to demonstrate oral and written communication skills.
  • Ability to perform typing at an acceptable level of proficiency and accuracy.
  • Ability to understand and apply available operating guidelines.
  • Ability to meet and work with the public in a pleasant and courteous manner and at times in stressful situations.
  • Ability to express ideas effectively in writing and orally.
  • Ability to organize and prioritize work assignments and complete them in a timely manner.
  • Ability to maintain confidentiality.
  • Must participate in division in-services as it pertains to work responsibilities.
  • Attend meetings, locally and regionally that are required to ensure that students aspects of division operations are in compliance with applicable rules and regulations.

Minimum Requirements:

  • Must have high school diploma or Equivalent.
  • Two year's experience as an Office Assistant IV.
  • Required to pass pre-employment drug test.
  • Required to pass pre-employment background check.
  • Must possess a valid Washington State Driver's License with the ability to obtain a Yakama Nation Driving Permit.
  • Enrolled Yakama Preference, but all applicants are encouraged to apply.

Preferred Requirements:

  • Certificate or degree in secretarial course of study from an institute of higher learning or an approved business school.
  • Minimum of two years successful work experience as an Office Assistant IV or related education field may substitute.

PRE-EMPLOYMENT DRUG TEST
: Is required for Pre-Employment with the Yakama Nation. During employment, tribal employees are also subject to random testing (YN Personnel Policy Manual, Chapter 2.9.6, Section (a), (g), Alcohol and Drug-Free Workplace Policy).


TRAINEE
: The Yakama Nation reserves the right to practice Indian Preference by selecting an Indian applicant as a trainee at a reduced pay rate than announced. A training plan is developed to assist employee to reach required qualification requirements and performance level. After completing training plan, work performance will be evaluated. Upon satisfying qualification requirements, employee will obtain entry level pay.


INDIAN PREFERENCE
: In efforts to practice Self-Determination, the Yakama Nation grants Indian Preference for employment, promotions, and transfers to its employees and qualified applicants as appropriate. This may limit career opportunities for non-Indian applicants and candidates.


Preference for employment will be granted to qualified individuals meeting minimal qualification criteria in the following order pursuant to the YN Personnel Policy Manual Section 2.1.3:

  • 10-points= Enrolled member of Yakama Nation.
  • 8-points= Indian (enrolled) spouse of an enrolled Yakama member.
  • 6-points= Other Indian (member of a federally recognized tribe).
  • 8-points= Indian (enrolled) descendant of enrolled Yakama member.
  • 2-points= Non-Indian spouse of an enrolled Yakama member.
  • 0-points= Non-Indian.

Personnel Policy Manual Section 2.1.4:

  • Positions funded under non-638 federal funding: 8-points= Indian (member of a federally recognized tribe).


VETERAN PREFERENCE
: Is pursuant to Section 402 of the Vietnam Era Veteran's Readjustment Assistance Act of 1974. For verification, must provide a copy of honorable DD-214.

Application points using the weighted point factor system: Disabled Veterans receive 10 points; All other Veteran's receive 5 points.


IMMIGRATION
: If selected for employment with the Yakama Nation, you will be required to provide documentation stating you are authorized to work in the United States.


SELECTIVE SERVICE
: All males born after December 31, 1959 must be registered with the Selective Service. To our knowledge, you may sign up at the U.S. Postal Service in your local area.
