Summary:
The primary responsibility of the Bi-lingual Front Office Coordinator is to organize and coordinate the daily activities of the Company’s farming, hulling and shelling front office, which may include administrative duties and accounting duties. The secondary responsibility of the Bi-lingual Front Office Coordinator is to provide admin support to the Farm Manager. Lastly, the Bi-lingual Front Office Coordinator will be responsible for handling logistic record-keeping for in-coming and out-going company and non-company vehicles.

Essential Duties and Responsibilities:
· Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
· Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs.
· Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer.
· Compile, copy, sort, and file records of office activities, business transactions, and other activities.
· Review files, records, and other documents to obtain information to respond to requests.
· Open, sort, and route incoming mail, answer correspondence, and prepare outgoing mail.
· Compute, record, and proofread data and other information, such as records or reports.
· Type, format, proofread, and edit correspondence and other documents, from notes or dictating machines, using computers or typewriters.
· Inventory and order materials, supplies, and services.
· Deliver messages and run errands.
· Collect, count, and disburse money, do basic bookkeeping, and complete banking transactions.
· Process and prepare documents, such as business or government forms and expense reports.
· Count, weigh, measure, or organize materials.
· Check figures, postings, and documents for correct entry, mathematical accuracy, and proper codes.
· Comply with federal, state, and company policies, procedures, and regulations.
· Perform financial calculations, such as amounts due, interest charges, balances, discounts, equity, and principal.
· Reconcile or note and report discrepancies found in records.
· Debit, credit, and total accounts on computer spreadsheets and databases, using specialized accounting software.
· Match order forms with invoices and record the necessary information.
· Reconcile records of bank transactions.
· Maintain inventory records.
· Prepare and process payroll information
· Conduct searches to find needed information, using such sources as the Internet.
· Maintain current company safety standards.

o Full cycle accounts payable
o Maintain commodity sales contracts.
o Post work for client billing weekly for Paddack Hulling and Tilbury Farms unto client billing spreadsheet.
o Serve as the point person for all related office Administrative duties.
o Help weekly with collection of timekeeping records for ranch employees.
o Order supplies for office, facilities as requested, safety items, PPE, and other business needs.
o Help with ordering of chemicals and fertilizers for farm operations.
o Maintain an inventory list of chemical and fertilizer while keeping the SDS binder updated.
o Must be or become a weighmaster.
o Apply for USDA Air Pollution programs as applicable to the facility (ex. Market Facilitation Program, Heavy Duty Engine Program).
o Inspect premises monthly for safety compliance (e.g., fire extinguishers, first aid kits, eye wash station) etc.
o Organize and schedule fire extinguisher annual inspections for facility and company vehicles.
o Provide clerical and administrative support to management as requested.
o Maintain an organized office, customer files and office procedures. Open daily mail and distribute or post as appropriate.
o Monthly farm management client account billing.
o Become certified to do water coalition reporting and stay updated on compliance requirements.
o Maintain an accurate farm equipment log. Ensure that all company equipment / assets and or land and property purchases is properly entered into Quick Books with corresponding paperwork provided to accountant and insurance broker.
o Ensure that all receivables are collected and entered in Quick Books promptly.
o Make bank deposits in person.
o Occasionally pick up parts or supplies as needed from vendors.
o Conduct a monthly bank reconciliation of the company account.
o Conduct periodic reconciliations of all AR accounts to ensure their accuracy.
o Help maintain spray permits for two owners.
o Help with compliance requirements of health and safety codes, including spray permits.
o Provide information as requested to the external accountant who creates the company’s financial statements.
o Help with audits from outside agencies when needed.
o Maintain an orderly administrative filing system.
o Maintain an updated property / ranch lists on all company used forms and annually with the Farm Service Agency.
o Conduct random inspections at the facility for compliance of required postings.
o Maintain crop insurance policy and records.
o Review chemical lists used with outside agency annually and maintain updated SDS book.
o Communicate with Ranch Managers for invoice approvals, supply purchases etc.
o Other duties as assigned.

Duties Specific to Harvest Season (August – October) in general but not limited to the following:
o Order bins used for the commodity from other processor for the harvest and maintain an acceptable supply.
o Communicate with shelling customers prior to the start of harvest season. Ensure accuracy of customer information.
o Ship all sheller product to processors include paperwork and truck weight documents.
o Check all sheller worksheets for errors and add columns for totals.
o Post truck receipts and shelling records in customer’s files.
o Create and maintain stockpile map during harvest.

Education and Experience
§ High School Diploma
§ Bilingual-Spanish
§ 2-3 years working experience in agricultural/farm operations environment
§ 1-3 years Chemical billing
§ 1-3 years Hull Contract accounting
§ Associates Degree Preferred

Computer Skills: To perform this job successfully, must have a strong working knowledge of the following:
· Microsoft Office: intermediate level of excel
· QuickBooks Desktop

The noise level in the work environment is usually moderate to extremely loud. While working outdoors you will be exposed to dust. During the harvest season you will be heavily exposed to dust and different types of weather conditions while working outside. PPE may be required.
