CASTL Project Management Associate
Job description
The Center for the Advanced Study of Teaching and Learning (CASTL) in the School of Education and Human Development at the University of Virginia seeks applicants for a full-time (40 hours/week) CASTL Project Management Associate position to join our ECE team working with the Virginia Department of Education (VDOE) on two initiatives: Advancing Effective Interactions and Instruction (AEII) and Early Childhood Mental Health Consultation (ECMHC). The individual hired into this full-time position will work with the team to perform project management, data analysis for research and continuous improvement, and communication tasks to support the effective implementation and outcomes of these integrated projects. A successful candidate will guide our team to successful implementation and help make our work most efficient and impactful.
This is a remote position with rare on-site (UVA/Charlottesville and other Virginia localities) work requirements for meetings or presentations.
Roles and Responsibilities:
The successful candidate will be expected to fill the following responsibilities in 3 main roles:
Project Management
Gain familiarity with the entire scope and requirements of the project.
Maintain project timelines, collaborate with the project team to make progress on deliverables, and make recommendations to project leadership.
Keep meeting notes and manage/track resulting task assignments for team members using systems such as Smartsheet and online project management tools.
Develop a new system for collecting and displaying implementation data for coaching and consultation in Hubspot under the guidance of a Senior Project Manager.
Assess and address inefficiencies in existing processes and systems.
Share best practices with project managers, coordinators, and specialists (within- and cross-project) to develop and implement project management techniques into the everyday work.
Data Analysis for Research & Continuous Improvement
Help formulate research methods, suggest options for improving quality, identify potential problems, recommend solutions, and collaborate in the development of new techniques.
Create data collection protocols and coordinate data collection and analyses, including data cleaning, data management, and lead the presentation of findings to the VDOE.
Independently conduct data analyses for both quantitative and qualitative data.
Design systems for data use for continuous improvement of services, including automation of implementation data reports using Hubspot.
Use data (from logs, feedback etc.) and provide team leads and coaches and consultants feedback to guide plans for improvement.
Communication & Outreach
Manage recruitment strategy and timelines.
Design marketing materials (e.g. handouts, presentations, social media posts, etc.).
Coordinate the outreach to Ready Region Lead teams and direct outreach to program teachers and leaders.
Manage the intake processes for services including systems for caseload assignment.
Lead development of reports that succinctly summarize research findings and continuous improvement work for our partners (VDOE) and diverse public audiences.
Communicate effectively with project faculty, staff, and external partners (VDOE, Ready Region teams, Coaching Partners) and stakeholders (teachers, leaders) in written and spoken forms.
Maintain content revisions for project websites.
In addition to the above job responsibilities, other duties may be assigned.
Required Qualifications
Education: Bachelor's Degree and relevant experience may be considered in lieu of a degree
Experience : 2 Years of Experience, relevant undergraduate may be considered in lieu of a degree.
Preferred Qualifications
A strong preference will be given to candidates that meet some or all of the preferred qualifications.
2+ years of relevant experience that includes: project management, data analysis, and communication activities with demonstrated independence and effectiveness.
2+ years of experience within the field of early childhood education.
Prior experience with research-practice-policy partnerships in early childhood education
Knowledge of Virginia's early childhood education programming across various settings (e.g., VPI, ECSE, Title 1, Head Start, in schools, centers, and Family Day Homes).
Proficiency in data analysis and display using technology/tools such as Excel, Google sheets.
Proficiency in the use of technology:
Project management or customer service tools (e.g., Smartsheet, Scheduling apps, Hubspot)
Microsoft Office applications (Word, Outlook, PowerPoint, and Excel)
Videoconferencing, teaching, coaching, or webinar tools (e.g., Zoom, Canvas, TORSH)
Virtual platforms or storage (e.g., Google Docs, Box, Trello)
Data management tools (e.g., Qualtrics)
This is a remote position that may require occasional travel within Virginia.
Physical Demands
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
Compensation Information
This is full-time position with an anticipated range of $55,000 - $65,000, commensurate with education and experience, includes UVA benefits.
