Conference Services Manager - Hotel AKA Back Bay

AKA Hotels + Hotel Residences is hiring a Conference Services Manager for Hotel AKA Back Bay!
Reporting to the Director of Sales, the Conference Services Manager is the primary contact for meeting and/or event planner after signing of group contract, and will and stay connected until group departs. The CSM will monitor room block and cut‐offs dates, menu entry, partnering with Department heads, BEO execution, oversight of VIPs.
Team Member Responsibilities:
- Partner with Food and Beverage, Accounting, and Front Office Operations daily to communicate updates to billing procedures, menus, meeting space set‐up, and VIPs
- Audit group contract and Delphi contacts and bookings, to ensure accuracy of dates, VIP requests and blocked meeting space.
- Process Banquet Event Orders in a timely manner for the clients, happily accommodating any changes that are within scope and communicating with team.
- Assists Director of Sales and Director of Food and Beverage with menu recommendations and updates as needed.
- Available to meet with clients for pre‐convention meetings as required, and host the meeting to include Department heads, upon client request.
- Distributes Banquet Event Orders and group resumes to appropriate hotel departments to facilitate efficient purchasing, planning, and employee scheduling.
- Prepares and sends thank you letters to clients, ensuring repeat booking.
- Promote all offerings and cities in AKA Hotels + Hotel Residences portfolio.
Required Skills & Qualifications:
- Minimum 2 years in hospitality in a similar role, or hotel operations.
- Bachelor's degree (B. A.) from four‐year College or University
- Reading, writing, and oral proficiency in the English language
- Experience in Hotel PMS systems and Delphi CRM preferred
- Ability to be flexible with work schedule on request
- Experience with Microsoft Office Suite
- Excellent verbal and written communication skills. Possess exceptional interpersonal communication skills
- Strong time management, organization skills with an emphasis on attention to detail
- Must be able to interact with a diversified group of people both internally and externally
