Ops & Work Control Coordinater - 100% ONSITE role (in office Mon-Fri)

Hours can be 7am-4pm or 8am-5pm PST, as Service Center is open from 5am to 8pm

Manager is seeking a self-starter, able to work in fast pace "open bull-pen environment"

Previous experience having worked in Theme Parks or Property Management ++ PLUS ++

Knowledge of work order systems, triage of emails

Flexible to work Saturday (only if needed and w/notice)

Qualifications:

Qualifications/Requirements -
1. High school graduate required
2. Minimum 2 years clerical and/or business administration experience
3. Minimum 3 years facilities maintenance help desk experience
4. Proficient in Microsoft Suite, Adobe
5. Excellent customer service skills
6. Excellent communication skills is a priority as the position requires frequent liaison with others both within and outside of the Department.
7. Experience and knowledge of enterprise business systems, and integrated workplace management systems.

Responsibilities:

Ops& Eng., Work Control, Coordinator - Job Summary
Reporting to the Fac Ops & Eng Service Center Manager, the Work Control Coordinator provides support for NBCU Facilities Customer Service Center & Building Intelligence Operations. The Coordinator will be part of the Service Center team supporting all NBCU west coast sites, 5 million sq ft of real estate across Universal Lower Lot Studio Operations, 10 Universal City Plaza and Dream Works Campus. The Coordinator will meet diverse customer service request needs, providing information supporting communications of Fac Ops & Eng work activities. The Coordinator will triage work requests and create work orders using the Integrated Work Place Management System (IWMS). The Coordinator will interact with customers via phone, email and the work management system. The coordinator supports the weekly work planning efforts working with Work Control and Maintenance Repair and Operations Managers. The Coordinator is the go-to resource for all trades & engineering for work management information and will serve as the face of the Fac Ops & Engineering department providing excellent customer service to all customers.

Job Duties: Work Management, IWMS:

  • Operate the Fac Ops & Eng service center responding to customer requests from phone, IWMS and email requests.
  • Triage work requests for accuracy and assign crew(s) to work orders.
  • Use the IWMS for Work Order creation, assignment, status and reporting information.
  • Administer daily functions of the IWMS such as adding labor teams to crews, updating zone teams with resources available for work.
  • Work closely with the Work Control Manager and Director of Lower Lot Operations to provide best in class Maintenance Management and Customer Services to NBCU customers and technicians within facilities department.
  • Properly code work orders with account information for various work types to link work orders appropriately.
  • Manage multi-trade work order configuration using the NBCU IWMS. Ensure property information, crew information, materials and labor quantities and asset information accurately reflected on work orders during the work order life cycle.
  • Support the IWMS configuration for team members, creating views specific to trades and work teams.
  • Lead weekly studio operations & engineering work planning & scheduling activities.
  • Work closely with Work Control Manager and other NBCU Departments, outside vendors, to compile scope of work being completed for lower lot facility projects.
  • Set up project walks with vendors and various NBCU teams that are involved in maintenance projects on campus.
  • Track progress of multi-trade projects to report on job status to ensure best in class customer service for our customer requests and projects.
  • Follow up with customers on project status, and customer satisfaction after project is complete and closed out.
  • Work with Finance and Fac Ops & Eng admin teams on cost transfer analysis as needed.
  • Support Fac Ops & Eng with work management reporting.

Job Types: Full-time, Contract

Salary: $15.00 - $22.00 per hour
