Position Overview
beGirl.world Global Scholars, a global education organization that equips Black girls with the opportunity to learn and grow by seeing the world, is seeking an Event Coordinator to provide logistical, administrative, and production support for our Passport Equity initiative.
The Event Coordinator will work closely with the Interim Director, other staff, and Advisory Board members to coordinate beGirl’s live Passport Equity event to sponsor 100 passports for first-time passport holders in Philadelphia in early September. This event will provide educational programming for high school girls and young women with the aspiration to travel and see the world. This will be a contract position from June to September 2023 requiring an average of 20 hours per month.
Responsibilities
Under the supervision of the Interim Director, the Event Coordinator will:
- Plan and organize details of the event, including scheduling and logistics related to attendees, venue, food and beverage, tech requirements, programming, and event flow
- Provide event production support and liaise with regional partners to stay on top of their events by managing deliverables, ensuring deadlines are met, troubleshooting problems, and serving as point of contact for all administrative and logistical elements related to event day
- Work with project partners and sponsor to ensure that all elements for meeting their production needs are satisfied
- Research and establish relationships with vendors to produce event while staying within budget
- Provide event day direction to volunteers for setup and serve as go-to person for event-related questions for attendees and workshop participants
- Contribute to key messages that align with the project goals as needed for the promotion of regional events
Requirements
- Bachelor’s degree or equivalent work experience
- Strong organizational and planning skills with a high level of attention to detail; previous experience planning meetings, conferences, or training events preferred
- Strong interpersonal and communication skills necessary to interact with internal and external contacts
- Excellent organizational and problem solving skills
- Enthusiasm, curiosity, and an ability to work mostly unsupervised
- Database, volunteer coordination and/or fundraising experience are a plus
beGirl.world Global Scholars is headquartered in Philadelphia, PA. The Event Coordinator must be located within the Philadelphia metro area or have transportation and access to various locations in the city.
