    POSITION OVERVIEW
    Under direction of the Superintendent and Assistant Superintendents, the Executive Administrative Specialist will provide clerical, secretarial, financial and administrative assistance to the Assistant Superintendent(s) and Board of Education, conveying information regarding meeting functions and procedures; and supporting the broad array of services provided to the Assistant Superintendent(s), Board of Education, students, parents, instructional and support employees.

    ESSENTIAL DUTIES AND RESPONSIBILITIES
    The following information is intended to describe the overall nature and scope of the work being performed in relation to the position. This is not a comprehensive listing of all the responsibilities or tasks; other work may be assigned when deemed appropriate:
    • Exercises good judgment and confidentiality in conformance with district policy.
    • Responds to requests (telephone, personal, mail) for information/assistance, exercising independent judgment and discretion.
    • Performs typing assignments including correspondence, presentations, labels, bulletins, rosters, reports, etc.
    • Composes correspondence, reports and other written documents.
    • Manages all clerical/secretarial tasks related to the Board of Education, including but not limited to, timely preparation of documents and communications prior to each board meeting, correspondence with individuals/groups receiving board recognitions for the purpose of scheduling, and creating certificates for board recognitions.
    • Manages, maintains and monitors Appoquinimink’s Board Policies – including notifications of policies for review, editing, and posting policies on our website.
    • Manages administrator budgets including placing orders, meeting/conference registrations, booking travel arrangements, tracking budgets, invoice payments, and other financial matters.
    • Responsible for inventory, ordering, and distribution of office supplies/equipment.
    • Schedules appointments and maintains up-to-date calendars for assistant superintendent(s).
    • Serves as the district representative for the Department of Elections (annual Board elections, primary and presidential elections).
    • Serves as the district representative for the Department of Labor to maintain and update the Issuing Officers in the district for Work Permits.
    • Works with the Department of Education to determine capacity for new development in the Appoquinimink School District.
    • Maintains contact with representatives of local, county or State authorities, with the news media, and with members of the general public.
    • Opens, sorts, prioritizes mail and other forms of communication and redirects to those who should act and/or should be kept informed of its contents.
    • Works closely with Public Information Office on referendum projections and timelines.
    • Assists in developing, compiling and preparing information, draft documents, and reports for admins.
    • Assists administrator(s) in designated, routine administrative tasks.
    • Maintains and assumes responsibility for records and files.

    MINIMUM QUALIFICATIONS
    Below are the qualifications for this position:
    • High School Diploma or GED Certificate (two years of applicable college or business school is preferred).
    • Thorough knowledge of secretarial techniques and office procedures.
    • Excellent interpersonal skills and ability to work with others.
    • Typing skills with accuracy.
    • Proficient Computer skills (e.g. Microsoft programs such as Word, PowerPoint, Excel etc., and Google Drive and other associated Google apps)
    • Proficiency in both written and oral English usage and proofreading.
    • Knowledge and experience with tracking budgets, paying invoices, purchase orders, etc.
    • Ability to coordinate workload to meet established schedules/deadlines.
    • Demonstrates ability to make decisions, to work under pressure and to exercise good judgment, discretion, and confidentiality in performance of duties.
    • Demonstrates pleasant, cooperative attitude.
    • Demonstrates good attendance record (school or employment).
    • Effective communication skills.
    • Ability to work independently.
    • Leadership role in performing many tasks and duties.
    • Work as a team player with other departments and schools.
    • Communicates information effectively in oral and written form.

    PHYSICAL REQUIREMENTS
    The following provides a brief description of physical requirements for this position:
    While performing the duties of this job, the employee is regularly talking, expressing or exchanging ideas by means of the spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly. The employee must possess normal cognitive abilities including the ability to learn, recall and apply certain practices and policies. Frequently sitting and/or remaining in a stationary position for long periods of time. Exerting up to 25 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.

    PHYSICAL AND ENVIRONMENTAL CONDITIONS
    The work of this class is generally performed in office environment. Work may require the ability to move around office spaces.

    PRE-EMPLOYMENT REQUIREMENTS
    • All persons employed by the Appoquinimink School District are required to submit a criminal background check and a tuberculosis test.
    • Anyone offered employment is required to provide the following: proper identification (Social Security Card and Driver’s License), documentation of eligibility for employment in the U.S.A., completion of I-9 form, and completion of paperwork for the Delaware Child Protection Registry.
