Overview:
This position is responsible for the support systems of the Facilities Department for the Academy. The Specialist is responsible for the operations of site coordinator, warehouse, mail room, facilities procurement and budgeting program, and internal move coordination.

As a teaching and learning laboratory created by the State of Illinois, IMSA enrolls academically talented Illinois students (grades 10–12) in its advanced, residential college preparatory program. Responsibilities:
ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Manage Budget Areas
    • Manage budget balance, assist with projections/paperwork for annual budget requests
  • Manage Grants
    • Manage scope/balance - procurement, purchases, invoicing
  • Procurement
    • Support State Bids, RFQs, RFPs, RFIs, and small purchases for facilities department
  • Purchase Orders/Purchasing
    • Generate all purchase orders for facilities department and selective agency wide services
  • Invoice Processing –
    • Process single purchase and monthly invoices
    • Log all invoices into proper file systems
  • Vendors
    • Communication for quotes, ordering, scheduling services, receiving goods/services, issue resolution, etc.
    • Manage site visits
    • Manage multi-year agreements for services, preventative maintenance, etc.
    • maintain academy membership on vendor sites
  • Inspections, Permits & Training
    • Maintain records of reports/certificates for auditors (oversight request)
    • Coordinate safety training for facilities employee certifications
  • Waste Removal/Recycling
    • Manage vendor for campus general garbage, single stream recycling, landscape waste, construction
    • Hazardous waste (paint, oil, chemicals, etc) - inventory, arrange vendor, maintain manifests, PO for fees
    • Metal Recycling - per state requirements
    • Batteries & Bulbs Recycling - collect, sort/inventory, arrange vendor, PO for fees
    • Electronics Recycling - per state requirements, arrange vendor, PO for fees
  • Annual Audit
    • Act as contact for audit walk to see postage meter, update restricted access list
    • Act as contact for audit walk to see copier paper, confirm inventory control, update restricted access list
    • provide all oversight reports and answer questions for facilities related issues
  • Energy Management
    • contact for utility accounts
    • Maintain energy tables for reporting purposes
  • Supervise/Manage Shipping & Receiving Services
    • Oversee department employees and support operations of this department
Qualifications:

MINIMUM QUALIFICATIONS

  • Bachelor’s Degree required
  • Minimum 5 years’ experience in an operational management position with expanding responsibilities
  • Ability to perform all job responsibilities with little or no supervision.
  • Experience in procurement and vendor management
  • Excellent supervisory skills
  • Excellent communication and interpersonal skills
  • Demonstrated ability to work well with a variety of individuals and diverse populations
  • Ability to work independently, resolve issues, seek help when needed, and work on concurrent projects
  • Experienced user of common computer hardware (e.g. laptops), office productivity software (e.g. Microsoft Office, budget software), and mobile devices (e.g. phone), and common peripherals (e.g. printers, others…)

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS:
Work is performed in an office setting with minimal exposure to health or safety hazards. Substantial time is spent working on a computer. This role generally requires mobility, written and verbal communication, hearing and visual capabilities. Additionally this position required loading, unloading, and moving materials/boxes weighing up to 50 pounds. However, reasonable accommodations, including assistive technology, may be made to enable qualified individuals with disabilities to perform such requirements.

COMPENSATION:
This is a full-time, exempt, employment-at-will position. Starting salary no less than $60,853 and commensurate with education and experience. IMSA offers an excellent comprehensive benefits package, including health and retirement benefits. The State Universities Retirement System (SURS) is reciprocal with other Illinois public retirement systems such as the Teachers’ Retirement System of Illinois (TRS) and the Illinois Municipal Retirement Fund (IMRF).
