Job Title
Hospitality Coordinator
Work Schedule
Full-time, Wednesday through Sunday, includes evenings and overnights
Position Reports to:
Manager of Hospitality
General Objectives:
- Provide direct support for all liturgical activities
- Maintain chapels, oratories and all liturgical vessels, linens in an acceptable manner
- Serve as the Malvern host for assigned groups providing hospitality services as directed.
- Notifies appropriate person on-call if a maintenance issue is presented (i.e., leak, flood, electric, bathrooms need attention)
- Responsible for setting-up Adoration in main chapels and/or oratories
- Responsible for setting up chapels for Masses
- Assist with registration process as needed in the Family Life Center and Main House
- Collaborate with Ministry Department as needed

Duties or Tasks to be Performed
- Prepare all chapels for liturgical events/Masses which includes the cleaning of vessels, linens, vestments and altar cloths.
- Monitor inventory for hosts, wine, charcoal; and order when needed
- Meet Retreat Director(s) and ensure his/her room is prepared, acclimating them to the grounds and schedule
- Assist with retreat refreshments set up and break-down after the event and return food to kitchen as needed
- Assist priests during Mass as needed
- Deliver emergency messages to retreatants
and CA Captains
- Assist in the duplication of materials
- Deliver checks to Retreat Directors
- Coordinate and monitor zoom broadcast during retreats
- Coordinate confessors and where they will be located during retreats
- Distribute monthly retreat publications
- Perform other duties as assigned.
Special Duties
- Maintain a current awareness of liturgical rubrics, themes and practices
- Ability to work independently
- Ability to prioritize, plan, schedule and coordinate with entire team
Experience
One to two years' experience as a Hospitality Coordinator/Sacristan; or equivalent experience preferred.
Special Knowledge/Skills
- Working understanding of traditional liturgical practices of the Catholic Church.
- Demonstrated customer service skills.
Essential Tasks
- Ability to handle multiple concurrent tasks, manage interruptions, and situational problem-solving is essential.
- Verbal communications using the English language
- Position requires long periods of standing and ability to move around property
- Ability to pick up and carry up to 30 pounds
- Knowledge of video and sound equipment, copier and phone equipment to be utilized
- Knowledge of Microsoft products including outlook and PowerPoint.
- Knowledge of Zoom software
