JOB SUMMARY

The License Renewal/Invoice Administrator will work with BYU’s Office of Information Technology (OIT) Contract and Fund Administration to support the timely renewal of software licenses and processing of the associated payments to the vendors. This role will assist in maintaining a database of existing contracts and track upcoming renewal activities to pre-emptively address any concerns with vendors and internal BYU stakeholders. As part of the work duties, the License Renewal/Invoice Administrator must interact with Contract Management, Purchasing, Accounting, business stakeholders, and other subject matter experts across the organization to ensure continuity of software licenses and related operations. WHAT YOU BRING TO THE TABLE:

Education and Experience:

Minimum Required:

  • 1 year of experience, preferably with related business processes
  • Strong communication/interpersonal skills

Preferred:

  • Associate’s or bachelor’s degree in a business field or information technology
  • Experience in contract/purchase order management
  • Experience in invoice/accounts payable processing
  • Good command of the English language in written and spoken form
  • Ability to comprehend legal verbiage preferred but not require

  • Coordinate and process recurring software license renewals
  • Communicate with vendors and address issues related to license renewals
  • Prepare purchase orders
  • Maintain and update the software license database
  • Interface with internal business stakeholders including Contract Administration, Purchasing, Accounting and IT Operations
  • Log and track incoming invoices
  • Obtain payment approvals from cognizant BYU/CES entities
  • Coordinate payment of invoices with Contract Administration and BYU Accounts Payable
  • Communicate with vendors and address issues related to invoice payments
