In your role as DEI Operations Assistant, you’ll leverage your proactive problem-solving skills, exceptional communication, and strong attention to detail to support the VP, Diversity Equity, & Inclusion. The ideal individual should have experience supporting senior level management in a fast-paced environment, successfully be able to juggle multiple tasks, can take initiative and can be flexible with change.
What You’ll Do at McCarthy
- Proactively manage the DEI Vice President’s calendar, resolving internal and external conflicts and prioritizing issues to ensure an effective time management approach
- Manages the annual DEI calendar, including providing logistical planning, coordination, and support for DEI events and initiatives as well as standing meetings and agendas
- Manage logistics, communications and administrative tasks including calendaring, event planning, travel arrangements, expense reports, meeting follow-up, etc.
- Supports the preparation of the budget request and financial reports, tracks the budget cost center. Which includes including processing and tracking purchase orders and travel reimbursements, monitoring developmental budgets and expenditures, and coordinating vendor contracts, purchases, and payments.
- Assist in organizing logistics and communications with ERGs, Councils and Committees.
- Support project and pursuit teams with the completion of various compliance forms
- Provide front desk and switchboard coverage as required
Qualifications
- This position requires a high degree of professional organization, communication and technology skills
- High School Diploma or GED required
- Minimum 5 years general office management and executive support experience
- Strong administrate and organizational skills
- Competency with Microsoft Office Suite including Excel, Word, PowerPoint, Outlook and OneNote
- Experience with Adobe Creative Suite, Canva a plus
- Travel up to 20%
