JOB SUMMARY:

The Operations Clerk performs a variety of duties relating to the day-to-day maintenance of drivers and assistance over the phone, email, and in person. This position’s principal focus is to promote company culture, communicate with drivers along with other departments of the company, assist in recruitment of new employees, track employee absences, assist in new employee onboarding, and provide assistance to the safety, dispatch, and human resources departments.

ESSENTIAL JOB FUNCTIONS:

  • Daily reception tasks for the Dispatch office which includes but is not limited to answering phone calls, taking messages, reviewing emails, interpreting, assisting employees, and keeping communication clear across the dispatch, safety, shop, office admins, and human resources departments.
  • Assist in giving orientations to new drivers.
  • Assist in providing basics of the onboarding packet to new drivers.
  • Distribute weekly and last checks along with paystubs.
  • Schedule meetings, interviews, drive tests, etc. as needed by the operations team.
  • Track and follow absences.
  • Promote company culture.
  • Communicate with drivers daily.
  • Assist in recruitment of new drivers.
  • Filing and scanning of necessary documentation.
  • As needed jobs for the Operations team.
  • Work safely in accordance with company’s safety program requirements.

OTHER DUTIES:
Other duties may be assigned as required by position.

1. Be flexible and be available to work weekends, over time as required
2. Reports any operational issues to immediate supervisor

COMPETENCIES:
To perform the job successfully, an individual should demonstrate the following competencies:

  • Good interpersonal and organizational skills
  • Ability to work well independently and with minimal supervision
  • Computer literate in Windows environment
  • Proficient in Microsoft Word, Excel, PowerPoint, Outlook, and Office Teams at intermediate level
  • Ability to read and write English o Bilingual Spanish preferred
  • Ability to read and comprehend simple instructions, short correspondences, and memos
  • Exceptional customer service skills
  • Ability to work in a fast-paced and consistently changing environment with drivers and office personnel from diverse backgrounds
  • Comfortable in conflict resolution

EDUCATION and/or EXPERIENCE:

  • Have a minimum of High School Diploma or GED equivalency or one year of general work experience.
  • Effective written and verbal communication skills required.
  • Must demonstrate initiative, cooperation, and level of discretion/confidentiality.
  • Self-starter and ability to follow up and follow through on all tasks.
  • Exposure to transportation industry.

MATHEMATICAL SKILLS:
Ability to understand wage and hour basics along with payroll concepts to review driver timesheets for payroll processing.

REASONING ABILITY:
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form, and deal with several abstract variables.

PHYSICAL DEMANDS:
While performing the duties of this job, the employee is regularly required to sit, stand, and walk, and talk or hear. The employee is frequently required to stand; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; and taste or smell. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, and ability to adjust focus.
