Job Description

The Administrative Assistant will support the Operations Department with day-to-day tasks. This position will report to the Vice President of Operations & Engineering and will work closely with JET’s field operations management staff. This position will be located in our Memphis, TN office and will require a background check and drug test.

No relocation assistance will be offered for this position.

Responsibilities:

  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, support preparation of department presentations.
  • Responding to external department requests and inquiries in a polite and professional manner.
  • Organize and maintain department databases.
  • Organize meetings, including scheduling, and organizing catering when necessary.
  • Keeping track of operational site inventory and ordering materials and/or supplies.
  • Performing minor accounting duties and budgetary duties; open purchase orders, apply correct account codes, analyze operational budgets with operations management, document variance explanations, review expenditure details and resolving discrepancies with operations.
  • Liaison between Operations Department/Field Operations and corporate office.
  • Support Operations Manager(s) and responsibilities as assigned.
  • Work closely with the operations manager to oversee daily business operations.
  • Responsible for training and enforcing company policies and/or procedures to operational teams.
  • Communicate correspondence and emails with customers, clients and contractors.
  • Providing administrative support to projects as needed.
  • Performing other duties as assigned.

Education/Qualifications

  • High school diploma/GED.
  • Degree in business administration or a related field preferred.
  • 3 – 5+ years of experience as an office administrator/manager or in a similar position.
  • Strong organizational and administrative skills.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office and data management software.
  • Detail-oriented with strong analytical and problem-solving skills.
  • Ability to multitask.

Working Conditions

  • Position may require prolonged periods of sitting in order to accomplish administrative duties.
  • This position frequently works under time constraints to meet deadlines.
  • Able and willing to travel on an as needed basis.
  • Position will be expected to work on location at company facilities.

Job Type: Full-time

Pay: $50,000.00 - $65,000.00 per year
