The Office of the Chief Operating Officer (COO) for the Earth & Biological Sciences Directorate (EBSD) seeks a highly motivated and dedicated individual to provide comprehensive administrative support to the COO, Operations Manager, and other staff. The individual in this position serves as an information resource and central point of contact for EBSD operations and partners closely with leadership to support various directorate and lab-level activities for the office. The successful individual will be proactive in anticipating upcoming deadlines and potential obstacles and be able to effectively organize and track complex activities and schedules.

Principle Duties:
- Functions as the primary source of administrative support for the COO and Operations Manager, including management of inboxes and complex calendars.
- Organizes meetings led by these individuals and their extended teams, including preparing agendas, assembling documents, capturing notes and tracking action items.
- Drafts correspondence and other documents, and assembles information for reports and presentations.
- Proactively anticipates the day-to-day needs of COO and provides a regular briefing inclusive of action items, meeting materials and background/context on each meeting, most often gleaned from conversations, prior meetings and/or emails.
- Utilizes working knowledge of PNNL systems, processes, and policies to manage overall office operations and seeks out continuous process improvements efficiently and effectively.
- Makes travel arrangements and processes travel expense reports following PNNL systems and policies.
- Provides administrative support as needed to other staff within the office.
- Frequently interacts with research and operations staff from across the lab.
- Frequently works with senior administrators and staff across the lab to manage complex calendars and address scheduling conflicts.
- Effectively communicates and maintains positive working relationships with all levels of staff across the directorate, within the laboratory and with external parties.
Minimum Qualifications:
- High school diploma/GED and 12 years of relevant experience in an administrative environment -OR-
- AA degree or higher and 10 years of relevant experience in an administrative environment.
- Experience in planning meetings and coordinating travel
Preferred Qualifications:
- Experience supporting an executive or senior manager preferred
- Excellent written and verbal communication skills.
- Ability to communicate effectively with a diverse population, including high level managers and clients.
- Extensive working knowledge of departmental and company policies, procedures and practices.
- Ability to work independently with little to no guidance when needed.
- Ability to multi-task, prioritize and organize work under tight deadlines and changing priorities.
- Ability to deal professionally with sensitive and confidential matters and materials.
- Demonstrated experience with standard office equipment, including MS Office Suite.
- Demonstrated ability to anticipate potential issues and recommend solutions as well as identify opportunities for continuous improvement.
- Exceptional discretion and good judgement.
