What you’ll do:

Department Coordinator Activities within Faculty Development

  • Develop and implement strategic objectives within the Faculty Development program with the goal of expanding the program and maximizing its impact throughout the WVU Health Sciences Center.
  • Organize and lead both in-person and virtual meetings with the various schools and departments throughout the HSC and its remote campuses, with the intent to understand their unique needs and determine how the Faculty Development program can assist them in accomplishing their goals.
  • Manage and direct the day-to-day activities of the HSC Faculty Development Program to include the FD Advisory Committee (including leading the meetings), Longitudinal Teaching Scholars Program, Teaching Scholars Summer Institute, Academy of Excellence in Teaching & Learning, Faculty Development Presentations. Manage all education events and faculty mentoring program.
  • Develop and establish program goals and objectives and procedures. Direct and coordinate all aspects of programs and assumes responsibility for the goals and objectives.
  • Develop and plans the program budget and controls the expenditures with budget allocations.
  • Oversee producing, writing and advertising promotional material for FD program and events including the FD website and SOLE site.
  • Maintain statistical data, records, and reports.
  • Provide matches for faculty mentoring program under the guidance of the Assistant VP for Faculty Development. Oversee updates to the online skills bank and promote the skills bank to ensure more participation.
  • Organize, plan, and coordinate meetings, teleconferences and related functions to open discussions to improve program goals and objectives.
  • Complete or review all CME forms and information as needed for schools of Dentistry, Nursing, Medicine and Pharmacy for FD programs.
  • Address administrative problems and inquiries as needed.
  • Additional duties as assigned to support the HSC Office of Faculty Development and the HSC Chancellor's operations.

Additional Administrative Duties

  • Prepare PowerPoint presentations for the Assistant Vice President for Faculty Development when representing WVU HSC Faculty Development Program.
  • Arrange for accommodations, audiovisual needs, work orders, catering, handouts and materials, etc. Coordinate schedule and registration desk, act as a liaison to catering, facilities management and other personnel.
  • Prepare correspondence, both from inception to major revision of draft and outlines that may include, but is not limited to, memos, letters, protocols, and grant proposals.
  • Prepare and process financial forms resulting from program expenditures and travel to include, but not limited to, requisitions, vendor's invoice request for payment, travel claims, electronic payment documents.
  • Create and maintain multiple databases containing information for a variety of programs for event and presentation registration, attendance, and evaluation. Prepare reports based on these databases for program faculty, staff, and related committees utilizing different software programs.
  • Maintain the Faculty Development Program website, updating information as directed, including the news and calendar features. Also responsible for several sites on SOLE (TSP, Academy of Excellence in Teaching & Learning, Summer Institute, WISH) which includes posting material, creating evaluation and surveys, communication tools, granting and changing user access, and assisting faculty and staff with problems as needed.
  • In advance of events perform duties including promoting events, making needed arrangements for Zoom, space, and audiovisual equipment, preparing handouts and sign-in sheets, pre-registration, catering, etc. When on-site at a program, troubleshoot problems, check room set-up, confirm times for catering, set-up audio-visual aids and equipment.
Qualifications
  • Master’s degree in a relevant field OR an equivalent combination of education and directly related experience.
  • A minimum of four (4) years of experience working in an administrative capacity.
  • Experience with Microsoft Office applications demonstrating a working knowledge of word processing, spreadsheet, and database application software and a proven ability to operate a personal computer.
  • Demonstrated ability to foster cooperation among diverse groups and to interact professionally and diplomatically in new situations.
  • Excellent oral and written communication skills, listening skills, and customer service skills.
  • Excellent planning and analysis skills.
  • Demonstrated leadership ability and competence in decision making.
