Position Location

This position is eligible for hybrid (office/remote) working arrangement and flexible working hours. This position is located in Los Angeles, California.

Job Summary

Responsibilities include administrative support to Principals, Project Managers, Construction Administrators and assisting their respective office/studio PIC as well as the Administrative Manager; oversight/coordination of all of Construction Administration documentation.

Minimum Requirements

Education: College Degree or High School Diploma with equivalent experience and minimum two (2) years college related courses preferred.

Minimum five (5) years general and administrative office experience required.

Minimum two (2) years’ experience in a project administrative capacity. Architectural and/or construction background a plus.

Experience with DSA, HCAI and/or Authorities Having Jurisdiction forms is a plus.

Job Specific Qualifications

  • Advanced skills in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint. Project Management software experience preferred.
  • Detail-oriented, ability to manage multiple projects with varying deadlines.
  • Professional attitude and appearance.
  • Excellent communication and interpersonal skills (both written and verbal).
  • Excellent organizational skills and ability to establish priorities, objectives, and deadlines, with minimal supervision, adapt at succeeding in fast-paced environment.
  • Skills and business acumen necessary to field requests from clients and senior HMC staff, producing clear and accurate results with minimal supervision.
  • Act as a point of contact for architects, clients, consultants, contractors, and various construction services teams
  • May participate in meetings, able to write notes and help follow up on actions needed.

  • Responds promptly to client needs, solicits client feedback to improve service, responds to requests for service and assistance, meets commitments.
  • Speaks clearly and persuasively in positive / negative situations, listens and gets clarification, responds well to questions, demonstrates group presentation skills, effectively participates in meetings.

  • May audit, submit, and approve timecards for office/studio staff.
  • May conduct new-hire training on HMC software/procedures.
  • Administration and reconciliation of Managing Principal personal calendars, task lists, and coordinating/planning meetings.
  • Demonstrates a high degree of industry related knowledge.
  • Considered a role model for all administrative staff.
  • Involved in the structure, staffing, and supervision of office/studio administrative group, conducting mentoring, training, and evaluations.

The salary range for this position is $25.41 to $35.72

The actual offered salary for this position will vary depending on multiple factors including the candidate’s qualification, education, position knowledge, work experience, skills, ability, work location, and internal incumbent compensation for similar roles. We do not anticipate individuals hired into this position will start at or near the top half of the range listed; the decision will be based on each individual case. The salary range listed above does not include other compensation elements such as discretionary bonus opportunities, employee stock ownership grants, paid time off, medical insurance, and other wage and benefit opportunities.
