Local swim school hiring a part-time Scheduler.

Our ideal candidate is friendly, outgoing, customer focused, works well under pressure and has flexible availability.

Hours per week: 16-30 hrs

MUST have availability & flexibility to work Monday-Friday between 8am-7pm and Saturdays 8am-1pm.

Position is YEAR ROUND.

Schedulers are responsible for the front office operations of our swim school. Primary responsibilities include, but not limited to:

  • Provide excellent customer service including troubleshooting and problem solving all scheduling related issues.
  • Take primary responsibility for inbound and outbound calls related to scheduling.
  • Work with Front Desk on sales leads ensuring smooth transition from registration through scheduling process.
  • Provide coverage for the Front Desk team during breaks, lunches and absences.
  • Maintain and update detailed family and student records including confidential information in our scheduling system.
  • Monitor team member work shifts to ensure lesson coverage while keeping swim families and office team updated when there is a sub.
  • Send mass communication during pool closures.
  • Resolve scheduling conflicts and schedule change requests professionally and timely.
  • Goes the extra mile when customers can’t find desired slots by looking at switching breaks, make-up slots, searching for future drops to utilize or other customers.
  • Prioritize the filling of instructor training schedules within the age restrictions and other specifications set forth by our trainers.
  • Respond to voicemails and emails in a timely manner.
  • Responsible for quality control of each instructor schedule with regard to maintaining the correct number of slots dedicated to breaks and make ups.
  • Manage all electronic files using Google Drive.
  • Pull daily and weekly reporting to track open classes, new students, and dropped enrollments.
  • Assist Management with special projects and other duties as needed.
  • Higher volume of requests during summer months.

Education:

  • High school or equivalent (Preferred)
  • Some college (Preferred)

Experience:

  • Customer Service: 2 years (preferred)
  • Scheduling: 2 year (preferred)

Job Type: Part-time

Pay: $12.00 per hour
