The Lovaas Institute is a provider of child therapy services looking to add new team members to our administrative team. Applicants for the position of Scheduling Support Specialist/Operations Assistant must be prepared to work collaboratively with others, think critically, and meet deadlines as assigned.
Location:
- This is a hybrid position; up to 2 days per week may be provided from home.
- This position will support the planning and coordination of service delivery to clients in Los Angeles and San Diego counties.
- Training is partially in-person and partly remote/virtual.
Hours/Availability:
- This is a full time position. Requires availability Monday through Friday.
- Business hours of operation are between the hours of 6:30am and 5:30pm (Pacific).
- Candidates will need to be open to a combination of earlier and later shift times (2-3 days per week from 6:30am to 3pm and the other days from 9am to 5:30pm).
- The position will begin at 30 hours a week during initial training and gradually transition to 40 hours a week within a month or sooner, based on the employee reaching specific training milestones.
Experience:
- Training will be provided for the position. Helpful experience may include: Schedule management, customer service, human resources, administrative/office assistant, tele-marketing, familiarity with Microsoft office (Word and Excel), familiarity with Mac platform.
Responsibilities and Duties:
- Serve as primary individual responsible for providing scheduling support to clients and team members in a fast-paced environment.
- Communicate directly with clients and team members via phone, text, and email about details related to appointments and related changes
- Ensure correct documentation of service schedules to ensure accurate client billing and precise time-keeping for employee payroll
- Coordinate make-up hours and ensure all clients and staff reach their weekly target hours
- Conduct client and employee health-screenings, as needed, to ensure services adhere to company heath and wellness policies
- Maintain up to date information for clients and employees within company database/practice management systems
- Assist operations team with document tracking and filing, handling incoming and outgoing mail, data entry, and other miscellaneous administrative duties

Seeking a person who is organized, efficient, attentive to detail, and has a strong memory. Candidate must be eager to learn, have a positive mindset, excel at multi-tasking and thinking creatively, collaborate well with others, and work independently when needed.
Compensation/Benefits:
- Position offered at $19 per hour with a Bachelor’s degree.
