The Office of the Registrar is recruiting for a Senior Academic Records Specialist- Graduation and Degree Audit to join the team. The Senior Academic Records Specialist is responsible for the evaluation of anticipated graduates and communication with the student and their faculty about remaining requirements. This position is also responsible for construction and maintenance of degree audit programs in Colleague, and keeps current on all changes to degree requirements and policies. A review of applications will begin immediately, and will be accepted until filled.

Primary Duties and Responsibilities:

Graduation Specialist:

  • Prepare and disseminate lists of students who are expected to graduate each term.
  • Manage communications with students and faculty regarding degree application and requirements for completion.
  • Manage the evaluation of all degree applicants, including updating program evaluations, engaging others in the office as necessary for timely completion with regard to important deadlines.
  • Print diplomas, verify addresses, and ensure student account is clear before releasing diploma.
  • Coordinate the Registrar's participation in Wildcat Windup.
  • Coordinate the Registrar input for the Commencement Program; this includes the students' names, degrees, majors, and hometowns as well as Departmental Honors and Awards and Honor Society membership.
  • Coordinate all activities regarding the office's activities leading up to and during Commencement weekend.

Degree Audit Specialist:

  • Analyze complex degree requirements and interpret the coding necessary to create the comprehensive program evaluations. This includes writing the code for each requirement and keeping current on best practices for writing syntax.
  • Keep current on the rules and requirements as passed by the Faculty.
  • Communicate with the Curriculum Committee(s), Deans, and Department Chairs to clarify requirements and intent concerning program requirements, curricular policies, and other matters relating to the Degree Audit programming.
  • Manages Academic Program updates, ensuring accuracy and communicating information to students, advisors, and the Office of Academic Advising.

Other Duties:

  • Assist with office processes at busy times, such as the beginning of each semester and add/drop deadlines, as well as degree processing-which usually includes evening and weekend work.
  • Liaison with other university offices and services as needed.
  • Prepare a variety of reports, schedules, forms, and/or other information related to assigned area of responsibility, utilizing established guidelines and procedures.
  • Respond to requests for information related to records, reports, and general information.
  • May attend and represent Linfield at regional and national conferences and seminars.
  • Perform other duties of a similar nature as assigned

Qualifications:

  • Bachelor's degree and one year experience working with academic records; or an equivalent combination of education and experience.
  • Knowledge of degree requirements and maintenance of student information.
  • Knowledge of higher education registration and admission principles, practices, and processes.
  • Experience supervising professional staff or student worker support staff.
  • Proficiency in computer software applications and thorough knowledge of database systems, applications, and functions. Knowledge of Ellucian Colleague preferred.
  • Experience prioritizing and assigning work.
  • Exemplary verbal and written communication skills, with an emphasis on providing excellent customer service.
  • Ability to relate positively to students, faculty, administrators, and staff from diverse backgrounds.

Work is performed in an office environment. Constant sitting, hearing, talking, seeing and repetitive movement of hands, wrists, and fingers. Occasional walking, climbing stairs, stooping, bending standing, lifting, pushing, pulling or carrying up to 20 pounds. Concentrated mental and/or visual attention is required. Work involves performing tasks requiring strong attention to detail for sustained periods to ensure accuracy.
