About the Role

The NYC Shipping Coordinator is an entry-level / full-time / in-office (non-remote) position, responsible for a variety of shipping and operational functions, which includes both administrative and physical “hands-on” work.


Key Responsibilities:


This role oversees the following responsibilities:


  • Teamwork: Reporting directly to the US Shipping Director and working alongside other Shipping Coordinators and various departments throughout Bonhams.
  • Shipping : Assisting various departments with their shipping needs; expect to handle a high-volume of shipping requests all while exercising a high-level of due diligence and best practices.
  • Pre-sale Shipping : Procuring shipping quotes from 3rd party shipping companies / and then executing-on all approved shipments by liaising between all parties involved.
  • Post-sale Shipping : Handling & packing sold property / arranging shipping for sold property / and releasing property from our premises to the shipping companies.
  • Interoffice Transfers : Interoffice shipments are routinely scheduled and require both administrative and physical “hands-on” work - including: arranging, organizing & booking shipments / maintaining property staging-areas within our premises / and overseeing the release & receipt of property.
  • Courier Accounts: Managing our FedEx and DHL accounts to assist various departments with their shipping needs - including: quoting the shipping costs / creating shipping labels / assigning Schedule B numbers to items and generating EEI numbers for international shipments / and overseeing the release & receipt of parcels from the premises.
  • Financial : Working closely with the Operations Administrator and Client Services team to manage the financial coding of invoices relating to post-sale shipping.
  • Supplemental Responsibilities : In addition to the tasks and responsibilities listed above, you may be required to perform other duties as assigned by your manager.


Key Skills and Experience:


  • Some experience in the above roles.
  • Proficiency using the Microsoft Office software suite or equivalent; and basic database queries and entry.
  • Ability to learn quickly about all matters of shipping including best practices and due diligence.
  • Detail-oriented and possessing excellent communication skills; this is a communication-driven role which requires a sharp skillset to get through a heavy workload.
  • Strong ability to work independently and to make use of provided technologies to maintain a constant presence.
  • Capable of performing physical tasks such as being on your feet for hours at a time, walking throughout the office, and physically moving property.
  • Potential to work overtime and/or during weekends (if ever required).
