The Office of the Executive Secretary (OES) is seeking a highly-motivated person for the position of Compliance Analyst with the Department of Judicial Services in the Specialty Dockets Division. This department serves as the liaison between the judiciary’s administrative office and the Virginia state courts providing services through education, publications, technical assistance, and the research, development, and support of various programs. The Compliance Analyst works as a member of the Specialty Dockets Team to assure compliance with national drug court best practice standards in the support of Virginia’s drug treatment and specialty dockets.
Essential Duties & Responsibilities – The Department of Judicial Services Specialty Dockets Division provides program oversite, grants administration, training, statewide database administration, annual reports on effectiveness and efficiency, monitoring, and assistance to support all Virginia drug treatment courts and specialty dockets. Through reporting to the Division Manager, the Compliance Analyst responsibilities include planning and executing site-visits to each specialty docket. The Compliance Analyst provides education and direction regarding best practices for all specialty dockets, ensures that program staff accomplish their approved program initiatives, promote the mission, and prepares a compliance report and/or corrective action if needed. This position will be responsible for preparing site-visit review forms, reviewing best practices and the compliance process with the field, preparing, and determining compliance report documentation, reviewing quarterly fiscal and program reporting, and monitoring compliance to national best practices, Virginia Standards and OES grant requirements. The Compliance Analyst interacts with staff with a focus on coordination to ensure that dockets comply with state/federal regulations and best practice standards. The Compliance Analyst will assist with coordination of in-person, conference call, and technical assistance trainings related to best practices, maintain compliance records and reports, prepare compliance visit announcements and summaries, and assist specialty dockets with information related to best practices and compliance visits, fiscal submissions, and technical reporting. This position is responsible for maintaining extensive records for consulting with the team regarding editing, updating, and maintaining procedural best practice standards.
Minimum Qualifications
A Bachelor's Degree or an equivalent combination of education and experience. Knowledge of the Virginia Specialty Dockets Standards and the Adult Drug Treatment Court National Best Practice Standards and the Best Practices Standards for each docket model or compliance appraisals is required. The candidate must possess considerable organizational and office administration skills that include proficiency in Microsoft Word and Excel. The successful candidate will demonstrate evidence of organizing resources, ability to adapt, establishing priorities, quick learner with attention to detail, and comfortable/efficient with working in a virtual environment. The ideal candidate will exhibit the ability to take initiative, work independently, and use innovative techniques and ingenuity to prepare compliance reports and work under pressure to meet deadlines while serving as liaison with other departments and agencies on issues regarding best practices. The candidate must have experience presenting information/reports to various multi-disciplinary groups. The ability to interact positively and professionally with members of the public, the judiciary and the legislature is very important. Desired qualifications include a general knowledge of the court system, specialty dockets experience and working collaboratively with team personnel to ensure compliance with all best practices.
Considerable statewide travel will be required for this position and the applicant must reside in Virginia.
