Job Description
Job Summary:
The Staff Assistant provides administrative support to the Staffing Coordinator and HR Department. They are responsible for clerical duties including answering HR-related calls, taking messages, filing paperwork, screening applicants, and scheduling interviews.
Supervisory Responsibilities:
This position does not have supervisory responsibilities.
Duties/Responsibilities:
- Address hiring needs for event staff and part-time positions
- Conduct initial screening of potential event staff and part-time candidates
- Assist staffing coordinator with recruiting, scheduling, and interviewing potential candidates
- Manage recruiting websites and dashboards
- Conduct employee orientation
- Attend employee trainings
- Enforce compliance with company and industry labor requirements
- Organize and maintain employee records
- Retrieve company and employee data as requested
- Maintain a healthy relationship with employees and forward all concerns to the HR manager
- In partnership with the HR Manager, Staffing Coordinator, and Event Services
- Assist in organizing, ordering, and distributing meal plans for event days.
- Assist with contacting staff, staff placement, staff breaks, and any other staffing needs.
- Keep accurate records of event staff attendance and tardiness as per the employee handbook policy.
- Assist in building engagement plans to assist with employee retention.
- Determine staffing shortfalls and report job vacancies to the Staffing Coordinator.
- Notify staff members of important information and company policies
- Receive, sort, and distribute daily mail/deliveries
- Order HR office supplies and keep an inventory of stock when needed
- Assist in the development of Standard Operating Procedures (SOP), job aids, and training
- Assist in Opportunity to Improve Service (OTIS) initiatives company-wide
- Culture Driver for Golden Grape Entertainment
- All other duties based on the department and company needs
Required Skills/Abilities:
- Proficiency in Microsoft Office & Google Workspace and other office management programs
- Ability to maintain confidentiality
- Strong analytical and problem-solving skills.
- Effective communication skills
- Excellent organizational skills and attention to detail.
- Ability to act with integrity, professionalism, and confidentiality
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to work weekends, evenings, and nights as this position will be required to attend all live and sporting events
- Good interpersonal skills with a polite and courteous demeanor toward staff, customers, clients, and visitors to the property.
Education and Experience:
- Associate degree in administration, human resources or office management OR 2 years experience in a similar role
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be available for week or weekend events.
- Must be able to lift 15 pounds at times.
- Must be able to withstand prolonged periods of standing.
- Must be able to access and navigate each department at the organization’s facilities.
- Move in a fast-paced environment that will occasionally be loud.
