RESPONSIBILITIES

· Answer switchboard, screen and direct calls to correct person/department, provide information to callers or take and relay messages when appropriate. Ensure phones are not left unattended at scheduled work times.

· Welcome visitors and guest while following all safety protocols and direct them to the proper person and or department with a professional attitude and approach.

· Receive and sort mail, packages and deliveries, post outgoing mail, and send out Fed Ex packages.

· Fill form orders from other locations.

· Assist personnel with using the office equipment in office services, i.e., copy machine and paper folder.

· Place and receive orders for supplies, verify invoices and assist with exchanges or returns.

· Modify and maintain cemetery policy and procedure manuals as well as administrative memos in electronic format.

· Perform data entry work of paid-up easements.

· Keep various databases up to date, including but not limited to funeral directors and monument dealers.

· Respond to genealogy requests that cannot be handled by the individual cemeteries.

· Proofread documents/forms for grammatical errors and spelling mistakes.

· Data entry and verification of cemetery records for accuracy from various sources and formats.

· Keep and maintain a professional and safe work area.

· Discharge other related duties as assigned by the Assistant Manager and Director, Information Services.

REQUIREMENTS

· High school graduate/G.E.D diploma required.

· 1 + year experience in a position requiring frequent interaction with customers, either face-to-face or via telephone. - experience in answering switchboards.

· Ability to concentrate and to quickly and courteously respond to callers in a busy, distracting environment, using good judgment.

· Experience with office procedures and systems, including customer service, computers, and computer programs.

· Ability to speak, read and write Spanish a plus.

· Ability to work cooperatively with the public, co-workers, and supervisors, and follow through on all assigned work.

· Ability to fulfill the established hours of the position and work extra hours as necessary.

· Excellent written and verbal communication skills.

· Ability to represent the Catholic Cemeteries in a credible fashion both internally and externally.

· Member of the Catholic Church with an understanding of Catholic faith practices preferred.

Job Type: Full-time

Pay: $38,000.00 - $40,000.00 per year
