Saratoga Arts operates the Community Arts Center, a multi-disciplinary building which serves all genres of arts and culture tracing its roots back to The Saratoga County Arts Council, a 1980 program of the Saratoga County Chamber of Commerce. In 1996, Saratoga Arts signed the first lease with the City of Saratoga Springs for 320 Broadway, the former home of the Saratoga Springs Public Library. The mission of Saratoga Arts is to enrich the region by cultivating a vibrant arts community and by ensuring that the arts are accessible to all.

Administration Coordinator
24-32 hours per week, pay range $18-20 per hour.
Requirements:
Excellent computer and organization skills, Excel, word, Square, Microsoft suite, google docs, non-profit CRM and other platforms.
Ability to handle multiple tasks, have a positive attitude, and able to work in a fast-paced environment.
Front of house public engagement with diverse groups of people a plus.
Responsible for opening/closing (as scheduled) of the Gallery, monitor for security and assist visitors.
· Be present during working shifts to monitor the security of the artwork and upstairs space at The Arts Center.
· Maintain a clean and well-organized front desk area.
· Answer phones, engage with the public and questions about Saratoga Arts.
· Assist walk-in visitors with donations, membership sign-up and class registrations.
· Handle occasional gallery and gallery shop sales.
· Refer visitors to the appropriate staff members as needed.
· Assist all departments with administrative support as needed.
Areas of support:
Exhibitions in The Arts Center Gallery
· Assist and help manage artist contracts and exhibition schedule.
· Produce materials for inclusion in web/social media & press releases Call for Submissions for Member and Juried exhibitions and other special exhibits, as required.
· Contribute to the production of written explanatory texts for exhibition programs.
· Track and process sales, gallery expenses and inventory of all required supplies
· Help monitor and maintain gallery spaces.
Art in Public Places (APP)
· Assist with scheduling and contracts monthly, bi-monthly, or semi-annually off-site exhibitions.
· Produce support materials for each off-site exhibition from information provided by artists.
· Assist with and help track sales and check requests.
Publicity, Marketing & Support for Operations
· Newsletter and website sections related to all programs.
· Press releases for all programs and events
· PR, mailings, postcards, posters, and social media events/invites related to
Saratoga Arts complete programming.
· Assist Education & Exhibitions with supply orders, equipment, and inventory.
Gallery Shop
· Assist & help facilitate Calls for Member Artists
· Coordinate with Operations Manager & ED acceptance of artists’ works
· Maintain inventory.
· Arrange + curate displays on a rotating schedule.
· Design & oversee timely production of marketing material.
· Cultivate new member artists to participate in the gallery shop.
· Track and process sales
Assist with cultivation, training, and coordination of volunteers.
Other duties as required.
