This administrative position directly supports the customer service function of the Planning, Design and Development Department. Work involves answering phones, greeting visitors, processing invoices, and maintaining the department office supplies. Work is performed with close to general supervision depending on the nature of the assignment and evaluated based on work products and results.

Major Duties and Responsibilities

  • Ability to deal with the public tactfully & courteously
  • Ability to compose effective & accurate correspondence
  • Processes invoices for BES / other financial & administrative transactions
  • Screen PDD info email and respond within a timely manner
  • Provide weekly and monthly call count to Supervisor
  • Answer incoming calls daily
  • Sort and distribute mail
  • Collects / completes / organizes / analyzes / interprets information for periodic & special reports
  • Drafts reports on current operations / programs / proposals / procedures
  • Answers or refers inquiries & complaints to appropriate persons
  • Arranges & cancels appointment / meetings for conference rooms
  • Take inventory of general office supplies and order them as needed for BES
  • Provides technical advice & information to employees / public
  • Processes confidential matters
  • Back up phone coverage for The Charlotte Development Center
  • Attend quarterly meetings with admins and finance team to discuss policies/procedures/training
  • Reconcile Supervisor’s Procurement card
  • Performs other administrative & clerical responsibilities, as needed


Knowledge, Skills & Abilities

  • Thorough knowledge of business English / spelling / punctuation / arithmetic
  • Considerable knowledge of the principles / methods of office management & of modern office procedures / systems / equipment
  • Ability to work independently on responsible / confidential clerical & related administrative and technical
  • Knowledge of research methods & techniques
  • Ability to establish effective working relationships with other employees & members of the public
  • Ability to carry out assignments based upon brief & general instructions
  • Ability to communicate effectively orally & in writing
  • Proficient in technology applicable to work required of the position
  • Ability to prioritize & carry out multiple tasks / responsibilities with limited supervision
  • Ability to communicate with City departments / public with tact & courtesy
  • Ability to learn Procurement card software & processes
  • Knowledge or ability to learn Munis financial software & processes
  • Knowledge or ability to learn Emerald software used to research information


Preferred Qualification

Customer service experience or work history

Minimum Qualifications

High School diploma/GED with one year of relevant work experience; or an Associate’s degree; or an equivalent combination of education and relevant experience that provides the necessary knowledge, skills and abilities to successfully perform the essential job duties

Conditions of Employment

The City’s Background Check Policy requires background checks to be conducted on final internal or external candidate(s) applying for any position with the City of Charlotte.
