Position Summary
Our CEO is seeking an Executive Assistant who is extremely detail-oriented and organized. Must have the ability to multitask and possess flexibility to adapt to change quickly. Must be fun, energetic, positive and personable. Our culture is the foundation of our company. :)
Responsibilities:
Administrative
- Schedule meetings for CEO and executive management staff
- Manage executive calendars
- Monitor general email inquiries; forwards and responds
- Take notes, details and organizes meetings and interactions
- Supports events and special projects as needed
- Provides support with office management, ordering supplies, catering
- Support Sales & Operations staff as needed
- Manage deliveries incoming and outgoing
- Help manage facility maintenance across all locations
- Buy gifts for customers, employees or personal, send thank you notes
Travel
- Book Flights, Hotels, and Cars
- Coordinate travel benefits through AMEX, Chase and Citibank
- Schedule drivers, or pick up executives as needed
- Help coordinate annual company party and travel
- Help manage fleet operations as needed
Human Resources
- Partner with the Solar Art management team on recruiting, interviewing, and screening employee candidate
- Monitors and updates Trainual Solar Art Training program
- Assists with maintaining compliance with federal, state, and local employment laws and regulations, and recommended best practices
- Maintains and coordinates Solar Art Community (Internal Video Communication)
- Monitor and update Solar Art Employee Manual as needed
- Operate ethically to protect the assets and image of the company
- Assist with Solar Art team building events, parties and other gatherings

- Must be able to maintain a schedule availability flexible to the business demands

Requirements:
- Must be comfortable with managing both business-related and personal requests
- Flexible to be on call outside of the 8am- 5pm workday. Will have to answer messages and take care of tasks before and after work, as well as occasionally on weekends
- Bachelor's degree or 2+ years of administrative or personal assistant experience
- Proficiency in Microsoft Office (Sheets, Docs, Slides) and PDF reader
- Final candidate will be subjected to background checks and a non-disclosure agreement
Job Type: Full-time
Pay: From $26.00 per hour
