We have nine Orlando Orthopaedic Center locations throughout Central Florida, plus a state-of-the-art outpatient surgery center at the heart of our downtown campus located in the trendy SoDo Shopping District just south of downtown Orlando. To provide more immediate care, we have opened several orthopaedic injury walk-in clinics located throughout Orlando and the surrounding communities.

Walk-In Clinic Patient Registration Specialist
POSITION: Walk-In Clinic Patient Registration Specialist
RESPONSIBLE TO: Office Manager
JOB SUMMARY: With a customer service orientation---register patients, answer the telephone, prepare the office for the day, schedule appointments, review daily schedule of upcoming appointments for patients with out-of-pocket expenses. Meet with patients to review estimate of out-of-pocket expenses and provide payment options. Address patient balance questions as they occur during the check in process.
WORK HOURS: Monday-Friday: 7:30am – 4:30pm (40hrs)
EDUCATIONAL REQUIREMENTS:
- High school diploma required
- Advanced degree or Certification preferred
QUALIFICATIONS AND EXPERIENCE:
- Three plus years of work experience in a physician practice/hospital
- Comfortable using email and interacting with Internet applications
- Experience collecting patient balances
- Strong understanding of insurance benefits and calculation of patient responsibility
- Knowledge of CPT codes and basic medical terminology
- Knowledge of practice management and electronic health record software
- Strong organizational skills and attention to detail
- Ability to perform multiple and diverse tasks simultaneously
- Proven experience handling irate patients/customers and dealing with conflict
- Familiarity with scheduling and rearranging appointments
- Excellent verbal and communication skills required
- Professional image (dress, manner, tone, attitude)
- Positive and confident image
- Excellent customer service skills required
- A degree of creativity and latitude required
- Strong computer skills, knowledge of MS office products
Responsibilities include, but are not limited to, the following:
Insurance Eligibility and Patient Responsibility
- Review insurance eligibility for upcoming patient appointments
- Review daily insurance benefits for the day’s appointments to determine which patients may have out-of-pocket expenses
- Monitor daily schedule to identify bottlenecks and ensure patients with potential out-of-pocket responsibility are visited in a timely manner
- Following patient visit review superbill and calculate patient’s out-of-pocket responsibility utilizing estimator software
- In a pleasant, engaging and timely manner explain out-of-pocket expenses and review possible payment options
- Address patient questions or concerns tactfully and timely
- Collect and process payment from patient or review non-payment policy
- Following company protocol document and manage patients that require further follow up
- Reconcile daily payment processing report
- Meet with patients to address questions regarding outstanding balances
Telephone Answering and Scheduling
- Answer the telephone pleasantly, and by the third ring as often as possible; route call or take message
- Schedule patient appointments: explain to patient which pieces of information they are to bring, provide a range of potential charges for the visit and the patient’s financial obligation, provide patients several scheduling options, follow physician-approved scheduling guidelines
Check-In and Registration
- Greet patients as they arrive for scheduled appointments
- Print the daily schedules one day ahead
- Prepare new patient paperwork for upcoming appointments
- Provide new patients appropriate paperwork for required signatures
- Verify demographic information for new and established patients, according to protocol and update computer system as needed
- Explain financial and collection policies to new patients---provide written guidelines to each patient
- Ensure the necessary patient paperwork is complete before patient is ready to be roomed by Medical Assistant
- Inform patients in the reception area when the physicians are running behind---offer to reschedule them as needed
Other
- Balance posted transactions at the end of each day
- Screen visitors and respond to routine requests for information
- Keep the patient reception area neat and clean at all times throughout the day
- Maintain patient confidentiality; comply with HIPAA and compliance guidelines established by the practice

Typical Physical Demands
Work may require standing and walking for long periods of time, and also stooping, bending and stretching for files and supplies. Position requires manual dexterity sufficient to operate a keyboard, operate a computer, telephone, calculator, copier, and such other office equipment as necessary. Position also requires viewing computer screens and typing for long periods of time, and working in an environment which may be stressful.
