WATERFRONT ADMINISTRATOR

Reports to: Waterfront Director, Dockmaster
Supervises: Waterfront Maintenance
Classification: Exempt
Pay Range: $65,000-70,000
Education and/or Experience
Preferred but not required: a bachelor’s degree (B. A.) from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.

Job Summary (Essential Functions)
The Waterfront Administrator is responsible for assisting in the overall organization and management of the Waterfront Office. The Waterfront Administrator is responsible for smooth operations while adhering to SDYC Rules and Bylaws. Responsibilities include, but are not limited to: maintaining and organizing electronic files, answering phone calls, assigning various resources available, maintaining waitlists, process deposits and refunds for the marina operation, provide support to Junior program, Buffalo Beach and various regattas as assigned by the Waterfront Director.
Job Tasks/Duties
· Assign slip spaces to members and guests
· Calculates and notifies accounting department about dockage charges
· Maintains dock reservations log
· Maintains log of arrivals and departures of all boats
· Performs emergency duties in the event of hurricane, fire, accident or disaster
· Selects, trains, supervises, schedules and evaluates all personnel associated with dock area
· Walk docks, lockers, and boatyard to ensure a safe environment exists for members, guests, and their property
· Be accountable for all wait and trade lists
· Maintains records of hours worked by all employees and submits to accounting department for payroll purposes
· Plans and implements seasonal start-up and shut-down activities for dock area.
· Ensures that marina is operated in compliance with all federal, state ad local regulatory guidelines
· Acts as liaison between members, front office and Port Captain
· Maintain accurate records, both paper and electronic, related to billing, work orders and hours worked
· Schedule club asset maintenance, taking into consideration club events, member service needs, and budgetary guidelines
· Operates the harbor within the financial guidelines established in the budget; takes corrective actions as necessary to assure that the budget goals are met
· Attends staff meetings along with monthly Port Captains Committee meetings
· Performs other appropriate tasks as assigned by the Waterfront Director and General Manager
· Assign/cancel resources in accounting system ensuring appropriate paperwork
· Answering phone calls, responding to emails, and greeting members, visitors and guests in the office
· Perform marina guest check-in/checkout
· Assign guest slips
· Track expenses, code invoices for junior and sailing office and submit to department leads
· Obtain mooring permits for members through harbor Police
· Oversee billing for guest slips ensuring records in accounting are accurate.
· Maintain records for Dockmaster’s Office
· Manage incoming cruises communicating with managers, security and cruise chair to ensure smooth stay
· Assist in developing/coordinating program/event logistics and functions of the Waterfront departments
· Reviews and files certificates of insurance
· Update all wait lists, ensuring deposits have been taken and returned when appropriate
· Submit billing adjustments to Accounting
· Assist with management of Buffalo Beach reservations and billing
· Communicate with Beachmaster on reservations and cancellations
· Assist Junior Director and Waterfront Director as needed
· Responsible for management of marina operations
· Oversees 600 slips in anchorage including maintaining current records for each vessel
· Provides all accounting for slips, storage and maintenance
· Processes invoices for Waterfront Operations and assists with budgeting for Waterfront departments
· Prepares audit reports for CFO
· Coordinates guest slip reservations, billings and oversees all slip assignments for regattas
· Coordinates all reservations and travel accommodations for SDYC’s private facilities on Catalina Island
· Convey to the membership a comprehensive understanding of the policies and the general operating procedures of the club as well as enforcement of these policies as designated by the PCC
· Ensure that all boats are in the correct slips, paying the correct fees and complying with all applicable rules and regulations
· Maintain, audit, and solicit as necessary all required documents for wet storage.
· Process wet, dry, rack and locker turnover and reassign all vacated resources
· Document and process accounting adjustments
· Assign guest berths to incoming yachts and small craft, and maintain a list denoting the location of visiting vessels and slips available to accommodate future guests
· Process and maintain information related to all issues associated with copper TMDL
· Primary contact for Port of San Diego’s Green Business Challenge, now Green Business Network
· Prepare reports and other items for Port Captain’s Committee meetings
· Other duties as assigned
